Benchyard Billing and Refund Policy
Version: 0.2 | Last updated: October 10, 2026
This Policy is part of the Terms of Service. It applies only to paid features that you purchase under a disclosed order or checkout. An invitation or a displayed usage figure is not itself a charge authorization.
1. Purchases and payment information
Before purchase, we will show the seller, currency, amount payable, credit quantity or service purchased, applicable taxes, and material conditions. We may use Airwallex or another identified payment provider. The payment provider's applicable notice and terms will be linked at checkout. We remain responsible for our contractual obligations as seller, including applicable refunds.
The standard purchase is a one-time purchase of credits for your personal Benchyard balance. This does not enroll you in automatic top-ups or a recurring subscription. Team purchases are available only through an expressly offered team order or supported purchase flow. Promotional credits, if offered, have the conditions disclosed when granted.
2. What credits pay for
Credits are an accounting unit for using the Benchyard services described in the applicable price schedule. They are not transferable to other users or exchangeable outside Benchyard. Their legal and tax treatment depends on applicable law and is not determined merely by calling them credits.
Your accepted price schedule identifies the rates for running, suspended, and stopped workspaces, retained storage and snapshots, and network transfer where charged. Selecting a larger machine, keeping resources allocated, or enabling a scheduled task may increase consumption. Provider model subscriptions and API usage are separate unless expressly included.
The interface may show estimated consumption and remaining time. Metering is periodic, and completed usage may be posted after a delay. A displayed positive balance is not a guarantee that no further authorized usage has accrued. Charges will be based on the applicable disclosed units and rates, with corrections for verified metering errors.
Stopping a workspace ends or reduces compute use according to its backend and rate, but retained storage and snapshots may continue to consume credits. Closing a browser does not stop resources. Deleting a resource affects future charges under the applicable schedule; it does not remove charges for prior authorized use.
3. Low or depleted balances
For accounts subject to the standard credit controls, a balance at or below zero prevents new workspaces and starts, including automatic starts by schedules or previews. Existing workspaces may continue for up to one hour before they are stopped. Retained resources may continue accruing the disclosed stopped or storage rate, and replenishment first covers accrued authorized charges.
If the balance remains depleted, the standard workflow schedules workspace deletion after 30 days and provides repeated notices, including the scheduled deletion date. Where notice was delayed by an outage, deletion will not occur earlier than 20 hours after the final notice. Snapshot retention follows the separately disclosed snapshot grace period.
Keep copies before depletion. Ask support for export assistance if lack of credits prevents access needed to retrieve your files. Automatic deletion is not a refund mechanism or a substitute for handling statutory access and deletion requests. Legally required notice, dispute protection, and preservation duties take priority over automated controls.
4. Price changes
We will disclose new rates at least 30 days before applying materially increased prices to existing customers' use, unless a longer period is required. New rates apply prospectively and will not reprice already consumed usage. A credit balance buys usage at the rates applicable when that usage occurs, unless an accepted offer promises a fixed rate.
A material adverse change permits you to stop the affected service and request a refund of unused purchased credits under Section 5. Promotional balances are not cash-refundable. We will not impose a new expiry date on an existing purchased balance without a valid contractual and legal basis and required notice.
5. Cancellation and refunds
You may stop future usage by stopping or deleting the relevant resources. Account closure can be requested at hello@benchyard.com. Benchyard cancellation does not cancel an external provider's subscription.
On account closure, or after a material adverse change you decline, you may request repayment of the unused portion of purchased credits, after settlement of valid accrued usage. Promotional credits are excluded. We will calculate the refundable amount using the amount actually paid for the remaining credits, account for applicable tax adjustments, and return an approved refund to the original payment method within 14 days, unless a different period or method is legally required. Your bank may take additional time to post it.
Used credits are ordinarily non-refundable unless there was a billing error, service non-conformity, an applicable guarantee, or another legal entitlement. Duplicate charges and verified overcharges will be corrected. If we discontinue a paid service or terminate it for our convenience, we will refund unused purchased credits attributable to that service. Suspension for suspected abuse does not automatically forfeit a lawful refund entitlement.
Send requests to hello@benchyard.com with the account identifier, receipt number, and reason. Do not send full payment-card details. We may reasonably verify the request. Tell us about a disputed charge promptly; an administrative request for prompt notice does not shorten a statutory claim period. We will investigate and explain the result.
6. Taxes and consumer rights
We will calculate, collect, and disclose taxes where required. Supply accurate billing details and any valid exemption information. A credit receipt is not necessarily a compliant tax invoice; required tax documents will be provided under applicable law.
Nothing in this Policy removes mandatory withdrawal, cancellation, refund, unfair-contract, or service-conformity rights. If you are entitled to a cooling-off period, a request to begin service during it and any legally valid loss or reduction of a withdrawal right must be collected separately where required. Merely accepting these Terms does not waive such rights. Regional purchase notices and forms must be provided before sales in markets that require them.
7. Future recurring plans
If we later offer a subscription or automatic top-up, a separate affirmative checkout must disclose the amount or calculation method, frequency, renewal timing, and cancellation method and capture required consent. These one-time credit terms do not authorize recurring charges.
